PERSONAL ASSISTANT TO THE PRO-VICE-CHANCELLOR, ACADEMIC AFFAIRS AND ADMINISTRATION (1)
Description
The successful candidates must observe high levels of confidentiality, be reliable, flexible, organized, possess good verbal and written communication skills.The incumbents should also be highly computer-literate.
Duties
• Manage the Pro-Vice-Chancellor’s calendar, including meetings, appointments, and events (Diary Management);
• Ensure relevant Head of Sections/Deans of Faculties present monthly management reports outlining progress agreed;
• Handle correspondence, including emails, phone calls and official documents, ensuring timely responses;
• Act as a point of contact between the Pro-Vice-Chancellor and other University departments, external bodies and stakeholders;
• Assist in managing budgets related to departmental activities and events;
• Handle sensitive information with discretion and professionalism;
• Maintain an organized office environment, including filing systems and office supplies;
• Research and be an information bank (media and internal);
• Preparing papers for meetings;
• Attend to queries from staff members;
• Carry out any other duties as assigned by the Pro-Vice-Chancellor.
Qualifications And Experience
• Applicants must have a recognized first Degree in Social Sciences. Administration or Business Studies;
• Applicants must also possess a qualification in Secretariat Studies such as a Diploma in Secretarial Studies or equivalent from a reputable institution;
• Further, applicants must possess five (5) Ordinary level passes including English Language;
• Knowledge of University structures or experience in an educational setup and at least seven (7) years of post-qualification experience are also prerequisites.
